Throughout the Borough there are a number of open spaces available for hire. If you are hosting an open air event such as a May Fair, Charity Gala or Fun Day then Woking Borough Council may have the venue for you. Areas such as Woking Park, Wheatsheaf Recreation Ground and Queen Elizabeth Gardens are just a small example of the locations where you can organise your event.
If you wish to apply to host your event please complete the electronic application here. Once you have completed this form please return to the Woking Borough Council, Community Services Department along with a signed copy of the Terms and Conditions and a completed Risk Assessment.
Please note event organisers are required to hold a policy of insurance in respect of Public Liability that must be valid for the period of the event. This insurance premium should be for no less than £5 million, an indemnity of over £5 million may be required in the case of large scale events. Organisers will be required to produce evidence of their insurance cover together with that of any exhibitor, band or dance group, sub-contractor, caterer etc. whom they have instructed or authorised to appear at the event.
Please note the following fees and charges apply to any organisation hiring open space, local charities and community groups may be exempt from this fee.

Posters
Woking Borough Council Reception - WBC have a "What's On" display in their reception area and are able to take one poster (A2 or A3 sized) per event. The poster must be left at Woking Borough Council, Civic Offices for the attention of Danielle Bounds.
Borough Boards - There are a total of 14 Boards across the Borough which take A2 sized posters. Space must be booked in advance and is subject to availability.
Drive-By Boards - There are 4 drive by boards across the Borough which take posters 1m x 1.5m. Space must be booked in advance and is subject to availability.
If you wish to display posters or leaflets in local libraries or shops etc then please contact them directly to make arrangements.
Website
Groups are encouraged to register their organisation directly with Window on Woking which is a community website hosting a wide range of micro-sites developed by local, not for profit community organisations. Registration is very simple and free of charge. Once registered, groups are able to add information about their group, contact details and list all their events.
